3. Viewing EventCAT Subtitles in Your Online Meeting

EventCat OnlineMeeting works by inviting the EventCAT AI Interpreter to your Zoom, Google Meet, or Microsoft Teams meetings. With just a few settings on the EventCAT website, you can apply real-time translation captions to your meetings without installing any additional programs.

The EventCAT AI Interpreter joins your online meeting, listens to all participants' speech, and generates real-time translated captions. These captions are shared automatically via a link in the meeting’s chat window. Participants can click the link and choose their preferred language to follow the meeting with real-time captions.

Frequently Asked Questions:

  • Do all meeting participants need to sign up for EventCat to view real-time translation captions?
  • No. Only one person, the one who invites the EventCAT AI Interpreter to the meeting, needs to sign up for EventCAT and subscribe to a plan.
  • The rest of the participants can view real-time captions in their preferred language without registering, simply by clicking the caption link that is automatically shared in the meeting chat.
However, the number of participants who can view EventCAT’s real-time captions depends on the subscription plan being used.

  • How can online meeting participants view real-time captions?
  • When the EventCAT AI Interpreter joins your online meeting, a link (URL) to the real-time translation captions is automatically shared in the chat window. Participants can click this link and view real-time captions in the language of their choice while attending the meeting.

Setting Up Subtitles (After Signup & Payment)

1. Log In and Select a Translation Model

      1) Log into EventCAT Online Meeting

      2) Choose a translation model depending on your plan:

  • Pay-as-you-go / Pro: Choose Swift or Wise

  • Plus: Only Swift available

Difference Between SWIFT and WISE Translation Models

  • Swift: Best for fast-paced environments like customer service or quick meetings.

  • Wise: Offers higher accuracy. Ideal for external business meetings, academic presentations, and when you upload documents/presentations.

2. Paste Meeting Link & Set Languages

  1. Copy the meeting link from Zoom, Google Meet, or Teams and paste it into EventCAT

     2. Set both:

  • Speaking Language (languages spoken during the meeting)

  • Target Language (languages for subtitles)

  • Click Next

Once the EventCAT AI Interpreter joins your meeting, you can’t change the languages. Make sure both languages are correctly set before inviting it.

Example:

  • If your meeting is in Korean but Korean isn't set as the Speaking Language, no subtitles will be generated.

  • If Korean isn't selected as a Target Language, subtitles won’t be viewable in Korean.

Frequently Asked Questions:

  • How many languages does EventCAT support for real-time translation captions?
  • EventCAT provides real-time translation captions in 43 languages.

  • How many languages can be selected in an EventCAT Online Meeting?
  • You can set up to 5 languages each for Speaking and Target Languages.
However, setting more than 3 languages may affect performance.

3. (Optional) Add a Glossary

For better accuracy, you can add a Glossary of technical terms, brand names, jargon, and proper nouns.

Options:

  • Upload related PDFs to auto-generate a glossary

  • Fill out the EventCAT glossary spreadsheet manually

  • Use built-in glossaries by domain (IT, law, finance, etc.)

4. Invite EventCAT AI Interpreter to Your Meeting

Once all settings are complete, open your Zoom, Google Meet, or Microsoft Teams meeting in your browser and click the “Invite AI Interpreter” button.
The EventCAT AI Interpreter will then be invited to your online meeting room.

Important Note:

  • If the online meeting is password-protected, or depending on the meeting platform, the host or a participant may need to click “Admit” to allow the EventCAT AI Interpreter to join.
Only after being admitted can the AI Interpreter provide real-time translation captions.

Frequently Asked Question:

  • How can online meeting participants view real-time captions?
  • When the EventCAT AI Interpreter joins the meeting, a link (URL) to view real-time translated captions is automatically shared in the meeting’s chat window. Participants can click this link and choose their preferred language to view real-time captions while attending the meeting.

  • The EventCAT AI Interpreter isn’t joining my online meeting.
  • If the meeting is password-protected or the waiting room feature is enabled, the “Admit” button must be clicked in Zoom to allow the EventCAT AI Interpreter to enter the meeting room. Only then can the interpreter join and begin providing real-time translation captions.

Once you’ve completed inviting the EventCAT AI Interpreter, you can immediately start and participate in your online meeting with real-time multilingual translation captions powered by EventCAT.

5. How to View Real-Time Subtitles (After Interpreter Joins)

When the EventCAT AI Interpreter joins the meeting, a real-time translation caption link is automatically shared in the meeting chat. Participants in the online meeting can click the link without logging in, choose their preferred language, and view the real-time translated captions.

Settings available on the real-time translation caption page

By clicking the gear icon in the top right corner, you can freely customize the real-time translation caption display settings.

  • Change Caption Language: You can switch to your preferred language at any time during the meeting.

  • Select Caption Layout: Choose the caption style that suits you best.

  • Adjust Font Size: Freely resize the font to a comfortable viewing size.

You can freely change these settings during the meeting, allowing each participant to optimize the real-time translation captions according to their own preferences while participating in the meeting.

6. Download Subtitles & Save Meeting Notes After the Meeting

After the meeting ends, a "Download" button becomes active (bottom right). You can save real-time subtitles by language as a transcript.

Download formats:

  • .txt (plain text)

  • .vtt (subtitle format)

  • Copy to clipboard

  • Meeting video recordings are also downloadable

  • Important Notes:
  • Captions and meeting records are stored for 7 days after the meeting ends. After that, they are automatically deleted, so please be sure to download any necessary files within this period.
  • Online meeting data settings can be managed in EventCAT Online Meeting settings.

You can set the data to be:

  • Deleted immediately after the meeting
