This guide explains how to set up real-time AI translated subtitles using EventCAT OnlineMeeting with Google Meet.Meeting hosts can begin the setup via the following link:

1. Log in or Sign up


  • Existing Users: Log in using your email and password

  • New Users: Create an account by entering your email and password

2. Create a Meeting and Set Up Translation

  • Paste the link of your Google Meet meeting room

  • Select the spoken language and target translation language

  • For meeting security, you can enable Passcode or IP Address Whitelist

  • Create a new glossary or select an existing one and confirm

After confirming all final meeting information, click Invite AI Interpreter and wait for the bot to appear in the meeting room waiting area (approx. 20 seconds).
Do not leave the translation screen — subtitles are only displayed there.

3. Approve AI Interpreter Entry

  • When a pop-up appears in the bottom right corner of your Google Meet meeting room, click Admit to let the EventCAT bot join the meeting.

Important Notes

  • Once the AI bot joins the meeting, a subtitle link is automatically shared in the Google Meet chat window.
    Participants can click this link to view real-time subtitles.

  • Each participant can choose their preferred language to read translations individually.

Besides pasting the meeting link manually, you can also add bot@eventcat.com as a guest in your Google Calendar or Outlook meeting invite. The interpreter bot will automatically join the meeting, and subtitles will be provided in real time — no extra setup required.

The subtitle link will be shared via the Google Meet chat window.

5. Download Subtitles After the Meeting

  • After the meeting ends, you can download subtitles in your chosen language.
  • Multilingual subtitle downloads are supported from a single meeting.
  • Data Security Notes
    • Subtitle scripts and recording data are stored according to your settings in:
       
      EventCAT Dashboard > OnlineMeeting > Settings

Options include:

  • Immediate deletion

  • 7-day storage

  • Permanent storage
