EventCAT OnlineMeeting Onboarding Guide for Zoom Online Call Live Translation
What does this guide cover?
This guide explains how to set up real-time AI translated subtitles using EventCAT OnlineMeeting on Zoom.
Meeting hosts can begin setup through the following link: https://eventcat.com/en
1. Log in or Sign up
- Existing Users: Log in with your email and password
- New Users: Create an account by entering your email and password
2. Create a Meeting and Set Up Translation
- Click the Invite AI Interpreter button.
- Choose a translation model:
Swift: Faster processing speed
Wise: More refined quality

- Paste the link of the Zoom meeting you created. Select the spoken language and the target translation language.
- To enhance security, you can enable Passcode or IP Address Whitelist features.
- Create a new glossary or select an existing one, then confirm.

After reviewing the final meeting details, click Invite AI Interpreter and wait for the interpreter bot to enter the Zoom waiting room (takes up to 20 seconds).
Important: Do not leave the translation screen — subtitles will only display there.
3. Approve AI Interpreter Entry
When a pop-up appears in Zoom, click Approve to admit the AI interpreter bot into the meeting.
Then, approve Allow Recording — this is required for translation to function properly.
Important Notes
Both Admit and Allow Recording must be approved in Zoom for EventCAT to work. If either is not approved, subtitles will not be provided.
After the AI bot joins the meeting, the subtitle link will be automatically shared via the Zoom chat window. Participants can click the link to view subtitles.
Each participant can choose their preferred language to read the translated content as text.

Switch between Dark Mode and Light Mode
Adjust subtitle display style and font size
Change subtitle language to the language you want to read
"There’s an easier way—use calendar invites!"
Besides pasting the Zoom link, you can also invite bot@eventcat.com as a guest in your Google Calendar or Outlook invite. The interpreter bot will automatically join the meeting, and real-time subtitles will be provided without any additional setup.
The subtitle link will also be shared in the Zoom chat.

5. Download Subtitles After the Meeting
- After the meeting ends, you can download subtitles in the language of your choice.
- Multilingual subtitle downloads are also available from a single meeting.
- Note on Data Security
- Subtitle scripts and recording data are stored based on your settings in EventCAT Dashboard > OnlineMeeting > Settings.
You can choose to have them:

Deleted immediately
Stored for 7 days
Stored permanently
