A step-by-step guide for a Conference and an Online Meeting.
Why Glossaries Are Important
Glossaries are a key resource for ensuring consistent and accurate translation of terminology during an event. They help EventCAT’s AI translation engine recognize and apply specific terms correctly, such as technical vocabulary, acronyms, brand names, or industry-specific expressions. Whether your event is an offline conference or an online meeting, glossaries improve translation quality, reduce errors, and enhance the overall participant experience.
Creating a Glossary in EventCAT
Go to https://app.eventcat.com/dashboard. On the left-hand side menu, scroll down to "My Page" and click on "Glossaries."
Select "Create Glossary."
You will be given two options:
Option 1: From Scratch
Select this if you don’t have files to upload or already have a company glossary ready to use.
Enter a title for your glossary. Select the languages you want to include (for example, English, Korean, Spanish (Latin America) and click "Create Glossary."
You will be directed to a spreadsheet-style interface, similar to ExcelEnter the Jargons, definitions, and key phrases specific to the meeting or conference you will be holding.
This is ideal if your team already works with an internal translation department or if your company has glossaries commonly used in your business.
Option 2: File Upload
If you have documents that can be used to generate a glossary, make sure to choose Option 2.
Click on "File Upload." Upload your file in PDF format. Upload and Next. Confirm the upload (it can take up to 2 minutes).
Glossary Upload Limits
File size: Up to 50MB per individual fileMultiple files: You can upload up to 4 files per meeting or eventSupported formats: PDF
Files like .docx, .pptx, .xlsx, and images (.jpg, .png) are not supported.
Glossaries are available for both the Conference and the OnlineMeeting. Once created, you are stored in your account and can be reused, edited, or downloaded any time.
Using Glossary in Online Meeting
When creating a new online call or an offline event in EventCAT, you can add glossaries during the setup process.
OnlineMeeting: Attaching or Creating a Glossary
Go to Invite AI Interpreter. Then, select your Translation Model and enter your Meeting Information. Click Next.
At this stage, you will be prompted to choose a glossary. You have three options:
Select existing glossaries: Choose up to four glossaries from those you have already created
Create New: Start a new glossary, either From Scratch or via File Upload (as explained above)
Start without selection: Proceed without attaching any glossary
Using Glossary in Conference (via Schedule)
In the Conference, selecting glossaries is a required step during the session setup process. Unlike OnlineMeeting, where using a glossary is optional, the Conference workflow requires you to select or create a glossary before continuing.
This requirement exists because glossaries play a critical role in ensuring accurate and consistent translation, especially in specialized fields such as electrical engineering, medicine, aviation, and other technical domains. Providing key terminology upfront allows EventCAT’s AI translation engine to better understand and translate domain-specific language.
Steps to Add a Glossary in a Conference
Go to https://app.eventcat.com/dashboard/conferences/scheduleClick "New Conference Room."
Add your Event Information. Then, select a Pass and click "Next: Create Session" to proceed.
6. Fill out the Session Information:
Title, Speaking Languages and Target Languages
7. Click "Step 2: Add Glossary."
Here, you will choose from the following options to fulfill the glossary requirement:
AI Generate: Upload a PDF from your computer. Click the blank field to browse your files. EventCAT will extract and process relevant terms automatically.
Use Existing: Select one or more glossaries previously created in your account.
Blank Sheet: Create a new glossary manually using the spreadsheet editor (From Scratch).
Using glossaries in EventCAT is not just a technical step, it directly impacts the quality of your event. Whether optional or required, choosing the right glossary setup ensures your content is clearly understood across languages. A few minutes of preparation can make a lasting difference in how your message is delivered.
