Glossary Terms Not Appearing in EventCAT Captions or Transcripts: Setup & Troubleshooting

Created by XL8 Support Team, Modified on Wed, 9 Jul at 1:21 PM by XL8 Support Team

Problem Summary & description

You're using EventCAT’s glossary feature to ensure specific terms appear correctly in live captions or transcripts during your session. However, those corrections are not being applied as expected. This may happen when glossary rules aren't saved properly, or glossary settings were incomplete during setup.

Why this happens

EventCAT applies glossary corrections automatically during transcription and captioning, but for these corrections to work properly:

  • Glossaries must be created, selected, and saved before the session starts.

  • Glossary rules weren’t saved or synced with your account properly.

  • You cannot change, delete, or reselect glossaries during an active session — this applies to both OnlineMeeting and Conference.

  • Low-quality audio input (e.g., background noise, unclear pronunciation) can reduce transcript accuracy and prevent glossary corrections from being triggered..

Solution: How to fix it

Step-by-Step: Setting Up Glossary Terms Correctly

Steps:

  1. Log in to your EventCAT account.

  2. Click your profile > My page > Glossary

  3. Create or add terms using the format: "spoken or misrecognized term" → "correct preferred term"

Use Case

Example Glossary Rule

Branding correction / product clarity

"AI CAT" → "EventCAT"

Company or product name standardization

"XLAID" → "XL8.ai"

Expand acronym for clarity

"NDA" → "Non-Disclosure Agreement"

Tech/AI presentations

"GPT" → "Generative Pre-trained Transformer"

Academic / medical settings

"Dr. Kim" → "Dr. Min-Soo Kim"

Common voice-to-text spacing issues

"Open A I" → "OpenAI"

  1. After adding terms, it’ll be saved automatically.

  2. When setting up your OnlineMeeting or Conference, select the correct glossary under session settings.

  3. Once the session starts, glossary settings are locked and cannot be edited.

7. After the AI bot joins your session, speak a few full sentences with your glossary terms to confirm they’re applied correctly.

Proactive Tips

  • Double-check for typos, spacing issues, or incorrect mappings in your glossary.

  • Speak clearly and use a good-quality microphone to improve recognition accuracy.

  • Use the free trial (OnlineMeeting) or rehearsal mode (Conference) to test glossary corrections before going live.

  • If a term doesn’t appear correctly, try adjusting its spelling or formatting in your glossary.
